Google Drive - Share files

Files you upload or files you create in Google Docs, Sheets and Slides ends up in Google Drive. You can share these files with other users.

  1. Go to the adress and log in with your Google Account.
  2. Right-click on the document, file or folder you want to share and select Share.
  3. Here are a number of options for sharing a document:

Option 1 - Share to specific users

In the box that pops up, type the person's email address, choose what the user will be able to do in the drop-down menu, and click Done.

Option 2 - Send a link via email to those who will have access

Click Get shareable link which copies a link to the file into the clip board and activates so that anyone with the link can access the file. Then paste the link into an email and send to those who have access to the document. Note that there is nothing to prevent the recipients to forward the link to others who then also have access.

Option 3 - Distribute to users at the university and advanced settings

Click Advanced in the lower right corner, and then click Change ... next to 'Private - Only you can access ". Here you can select whether the document should be fully public, all with a link can reach it, anyone at the university, or anyone at the university with a link can access the file or the folder. Click Save when you are done.
