Information for new doctors
As a new doctor you are welcome to the conferment ceremony at Kulturens hus in Luleå city centre, Saturday 14 November 2026. The ceremony is followed by a banquet at the university campus. You may invite three guests. Last day to register is 30 September.
Invitation and registration
Doctoral students who defended their theses between September 2025 and June 2026, and have received their degree certificates, are invited to the conferment ceremony on 14 November 2026.
Invitations to new doctors are sent to the email addresses provided in Luleå University of Technology's personnel system. If you have changed your address, please notify akademiskhogtid@ltu.se to ensure that your invitation arrives.
The invitation is sent out at the beginning of September and the last day of registration is 30 September.
After registration, you will receive a receipt to your e-mail (if it does not reach your inbox, check your spam folder) together with a code. The code is your and your banquet guests' entry ticket to Kulturens hus and the banquet. If asked, you should be able to show the receipt with the entry code at the respective entrance, either via mobile or printout.
For you as a promovendi, the University covers the cost for the banquet.
Your main supervisor will receive a separate invitation to the ceremony. Invitations to supervisors whose doctoral students have registered will be sent out in early October.
Guests
You may invite three paying guests to accompany you to the banquet, whom you register via the link in the invitation. The cover charge for your guests to the banquet is SEK 950 per person and is paid by card upon registration.
The ceremony at Kulturens hus will also have room for some extra relatives/friends in addition to your banquet guests. These guests must be registered (first name, last name) no later than 12 November to: akademiskhogtid@ltu.se, as they also need an entry code. There is no charge for guests who are only present during the ceremony.
Can I bring children to the ceremony? It is a long ceremony and it can be challenging for children to sit still and quiet for so long. We do not recommend bringing small children. If you choose to bring children, the person in charge of the child during the ceremony is responsible for ensuring that the child does not disturb the ceremony. Remember to sit far back so it is easy to leave the hall if necessary. If you have a child in a stroller, there is room to be at the wheelchair spaces at the back, entrance via the left door to the Main hall. Please notify akademiskhogtid@ltu.se if you wish to use this space.
Can I bring children to the banquet? The banquet is not as disruptive as the ceremony. However, the banquet is long, about four hours, and food is served late. There is no child-friendly menu. Children who are not seated at the table (but are instead in strollers or high chairs) and who do not eat the menu are not counted as paying guests, but should be notified to akademiskhogtid@ltu.se.
Insignia – order your doctor’s hat no later than 30 September
During the conferment ceremony, you will receive the insignia the doctor’s hat or laurel wreath, the doctor’s ring (symbolic) and the diploma. If you participate in the conferment ceremony, you will receive the doctor’s hat as a gift. If you belong to the Faculty of Humanities and Social Sciences and wish to be conferred with the laurel wreath instead of a hat, please notify akademiskhogtid@ltu.se no later than 30 September.
It is important to take your hat measurements as soon as possible, no later than 30 September. In Luleå, this can be done at: Skräddar'n, Tullgatan 12, 070-286 21 19. You pay for the service yourself.
If you don’t have the opportunity to have your measurements taken, please do it yourself with the help of this template pdf, 823.6 kB.. When measuring the circumference, measure around the widest part of the head, just above the ears and across the eyebrows. Place the measuring tape at the highest point of one eyebrow, bring it back over the pointiest part of the head (the back of the head) and back over the other eyebrow. Email the hat measurements directly to the hatter no later than 30 September: my@hattsmedjan.se. Write “Hat order Luleå University of Technology” and your name as the subject of the email.
The hats are delivered to us and we make sure they are in place for the ceremony.
Since no doctoral rings are handed out during the ceremony, you can if you wish order a ring from Teknologkåren (scroll down to the heading ‘Rings’ on their website).
Ceremony
The ceremony starts at 16:00 in the Main hall (Stora salen) of Kulturens hus, Saturday 14 November. The ceremony begins with a procession where the new honorary doctors, doctors, and professors march into the auditorium. All those participating in the procession gather at 15:45 at the latest outside the Main hall for line-up.
Invited guests shall have taken their seats no later than 15:45, when the doors close. Seating is free, except for reserved seats at the front.
The ceremony is about two hours long. Immediately after the ceremony, there is a group photo outside the main hall for the doctors together with the deans.
Rehearsal
For everything to run smoothly, it is necessary to have a rehearsal. This will take place on Friday 13 November from 15:00 to around 17:00 in the Main hall (Stora salen) of Kulturens hus and is mandatory. Before the rehearsal, please watch this instructional video on how the ceremony is conducted.
There is no dress code for the rehearsal. If you have ordered a doctor’s hat, take the empty hat box with you after the rehearsal (you will receive the hat during the ceremony).
Live streaming
We will livestream the ceremony in Kulturens hus. The camera will be pointed at the stage from the back of the hall. The audience will not be filmed.
The link to the livestream will be posted here as the ceremony approaches. You can share the link with family and friends who are unable to attend.
Banquet
After the ceremony, there are free buses for the banquet guests to the university campus where the banquet is held at the restaurant STUK. The banquet begins with mingling and is followed by a three-course dinner with drinks and coffee, entertainment, and speeches.
At dinner, your guests sit at your table, and you find the seating arrangement on site. Your main supervisor will also sit at your table.
At the banquet, all guests are served the same menu, considering special diets and allergies that you specify when registering. However, there is no children's menu.
Dinner is usually finished around 23:00, followed by dancing to live music and DJ sets. At that point, the restaurant STUK opens to other guests, who will need an after-party ticket. The link to purchase after-party tickets will be posted here as the banquet approaches.
Dress code
Those taking part in the procession wear formal attire. This means a tailcoat with white vest and white bow tie, black socks and black shoes, alternatively a long dress or a two-piece garment with a long skirt in your chosen colour. Other types of formal attire, such as uniform or folk costume, are also acceptable.
In Luleå, you can rent a tailcoat at Skräddar'n, Tullgatan 12, Luleå, 070-286 21 19. Tailcoats are also available for hire at Cinderella, Öjagatan 39, Öjebyn (north of Piteå), 0911-622 50, info@cinderellapitea.se.
The dress code for banquet guests is tailcoat or dark suit alternatively a long dress or a two-piece garment with a long skirt. For guests who only attend the ceremony in Kulturens hus, a proper outfit is fine.

Photography
Own photography during the ceremony in Kulturens hus is permitted from the respective seat, but not on the stage. Avoid noisy or bulky cameras.
Immediately after the ceremony, there is a group photo outside the main hall for the doctors together with the deans.
Luleå University of Technology will hire a photographer who you can book to take portraits of you and your guests in connection with the banquet at restaurant STUK. Information on how to book a photo session will be posted here as the banquet approaches.
The university's photographers will also take pictures during the ceremony and the mingling. The images may be published on, for example, the university's website and social media.
Cancellations
Any cancellations must be notified as soon as possible to akademiskhogtid@ltu.se. Cancellations for banquet guests later than one week before the banquet will not be refunded.
